Comments & Associations Information

"Document Manager" provides team members having access to a document, to view the comment and association details of a particular revision of a document. Comments & Association history records the details about the comments made and the various associations made with a document revision.  

 

Click on the comments/associations tab on the audit trail page as shown under:

 

 

The basic details of the document revision are displayed at the top of the page as shown under:

 

 

The revision dropdown lists all the revisions of the document in the format <<Issue No.>>:<<Rev No.>>: <<Upload Date>>.

 

  Select a document revision to view the comments and associations of that revision.

  Click on the file-name hyperlink to view the selected document revision.

  Click on the organisation name displayed against the Uploaded by caption to view the contact details of the user who has uploaded the selected document revision.

 

The comments and associations details for the selected document revision is displayed in the following five sections:

 

1. Status history:

 

The status history section displays the entire status history of the document revision along with the reason for status change.

 

 

  Click on icon to change the status of the document revision.

 

2. Comments:

 

The comments section displays all the comments that are made on the selected document revision with each comment displayed as a collapsible section as shown below:

 

Note - Draft comments created in Adoddle's new User Interface will not come up properly in Classic User Interface.

 

 

Each collapsible section displays the comment in two columns with the comment tree displayed on Left side and the comment details displayed on the Right side of the section. The responses made to a comment are displayed in a tree structure under the parent comment as shown below:

 

 

  Click on icon to change document revision status.

 

  Click on View Comment Details link to view the details of a particular comment.

 

  Click on icon to create a new comment on the document revision.

 

  Click on icon to print the Comment section.

 

If you have a unread comment on the selected document revision, the comment ID is displayed on the left side of the comment section will be marked in bold.

 

3. Associations:

 

The associations section displays the information about all the associations made with the selected document revision. It displays the information in 3 collapsible subsections.

 

3A. Comments which refer this doc:

 

This sub-section displays a table displaying the comments with which the selected document revision is associated with. It displays the comment along with the document on which that comment is created as displayed below:

 

 

  Click on file-type icon to download the document.

 

  Click on Doc Ref. of any document to view the document.

 

  Click on Comment id to view that comment in the comment and association page.

 

  Click on the icon displayed in the   column, to view the comments and association page of that comment.

 

  Click on status link to change the status of the document.

 

  Click on the organisation name displayed against the document in the Publisher column to view the contact details of the user who has uploaded the document.

 

  Click on the organisation name displayed against the comment id in the Publisher column to view the contact details of the user who has created the comment.

 

  Click on icon to display the Audit trail of the associated document.

 

  Click on icon after selecting the documents to download multiple documents together.

 

 

 

3B. Associated Attributes:

 

This sub-section displays the details of the attributes (work-packages) that are associated with the selected document revision.

 

 

4. Link Information

 

This section displays the link information associated with the selected document revision. If the selected document revision is a link then it displays the information about the parent. And if the selected document revision in a normal document and is linked to various folders, then it displays the information about the child. i.e. the various links that have been created.

 

 

  Click on the link displayed in the location column to view the parent document - if the selected document revision is a link.

 

  Click on the link displayed in the location column to view the linked document - if the selected document is linked to a particular folder.

 

 

5. External References

 

This section displays the details of the external references attached with the selected document revision.

 

 

  Click on file-type icon to download the document.

 

  Click on filename link displayed in the Filename column to download a particular x-ref.

 

  Click on icon to display the Audit trail of the attached x-ref.

 

  Click on icon after selecting the x-ref to download multiple x-ref together.

 

 

FAQ's

Q: I can see the Audit Trail icon but it is not hyperlinked (does not link to Audit history page)

A: Only  the users with “Can Access Audit Information" Workspace level privilege assigned to them, will be able to view Audit History Pages for documents, comments, x-refs.
