"Workflow Manager" team members may choose to link documents from private folders so they are visible to other users. Team members may link documents between folders within their Workspace or within many Workspaces depending on user privileges. Team members may also link documents from Workflow Manager to Tender Manager and Document Manager.
Users with View & Link, Publish & Link, Admin permissions on source folder can link documents
Users require Publish, Publish & Link, Admin permissions on target folder to link documents to Workflow.
Users require Administrator, Publisher Role on target folder to link documents to Workspace
Users require publishing privilege to link documents to Asite Tender.
The following lists the steps to link file/s into other folders within Workflow:
1. Select file/s to be linked to another folder / Workspace
2. Click on the icon in Edit Documents options dropdown
3. Select a folder to link document/s to
Users may link documents to another Workspace for a selected application by selecting the Workspace name from the drop down menu. (Users may only select Workspaces / folders that they have the permission to access)
4. Click on Create Link
The confirmation screen will displayed with names of documents for linking. Select document metadata values that are available in the Workspace where the documents are being linked
Select the Private option to publish the document as a private linked doc to the target folder
5. Click on Continue
6. Select recipients to receive document/s
7. Click on Add to Distribution List. Select action required, action due date and enter any action notes for the individuals in the distribution list
8. Click on Distribute
Confirmation will appear and your action ‘For Distribution’ will be cleared if checked ON.
Document will be linked with to the new folder with same issue no: as the parent document

Q: I am linking a document to another Workspace why am I not getting the Purpose of Issue that I am looking for though the document is having the Purpose of Issue currently in this Workspace?
A: While linking a document all the metadata that are displayed for selection are of the destination Workspace and that Workspace will not be having the Purpose of Issue that you want to assign.
