Clone Workspace from Workspace Templates

The user with"Admin" or "Access to Use" permission on a workspace Template can clone a workspace from Workspace Template. To clone a workspace

 

1.  Click on clone workspace icon on workspace templates tab on All Workspaces Page.

   

 

Define the Workspace Name, Client, Basic and Additional Information.

Select the Workspace Objects to be cloned.

Select inherit Changes option for individual workspace objects which need to follow inheritance from Workspace Template including Workflows.

Select “All Workspace Roles  (inc.Privileges)" to clone and inherit only the Workspace roles and the role privileges without role membership.

           Within Cloned Workspace, Workspace Administrator can assign new User Groups /  Organization / Users to an already inherited Workspace role.

 

 

          Select "Distribution Group Names" to inherit only Distribution Group without distribution content of users or ACL

 

 

 Click on save all link to save the cloned Workspace

Q: I want to remove the Drawing Series assignment in my cloned workspace, but it is disabled.

 A: You have marked Drawing Series Object  in your cloned workspace to inherit values from the template but ACL inheritance is not switched ON and therefore you are not eligible to edit the information within the cloned workspace. All updates need to be applied within the template and will automatically be reflected in your cloned workspace.

Note: You can break the inheritance for the specific Object and continue editing it within the cloned workspace.

 

Q: I want to update the folder name /deactivate the folder in my cloned workspace, but it is disabled.

 A: You have marked your cloned workspace of Folder Name and Structure Object to inherit values from the template but ACL inheritance is not switched ON and therefore you are not eligible to edit the information within the cloned workspace. All updates need to be applied within the template and will automatically be reflected in your cloned workspace.

Note: You can break the inheritance for the specific Object and continue editing it within the cloned workspace.

 

Q. I want to clone a template by its structure and do not want any subsequent updates from the template available on my Workspace. How can I manage it?

A. You can clone a Workspace Template by specifying the Objects that you want to clone and keep the “Inheritance” option switched OFF. This will clone the structure only to your new template without having any subsequent updates from the template.

 

Q. I want to update the name of a role in my cloned workspace but am not able to do so?

A. You have marked your cloned workspace Workspace Roles Object to inherit values from the template and therefore are not eligible to edit the information within the cloned workspace. All updates need to be applied within the template and will automatically be reflected in your cloned workspace.

Note: You can break the inheritance for the specific Object and continue updating information within the cloned workspace.

 

Q. I want to delete a Workspace Role in my cloned workspace but am not able to do so?

A. You have marked your cloned workspace Workspace Roles Object to inherit values from the template and therefore are not eligible to edit the information within the cloned workspace. All updates need to be applied within the template and will automatically be reflected in your cloned workspace.

Note: You can break the inheritance for the specific Object and continue deleting your required workspace role within the cloned workspace.

 

Q. I want to edit the Role privileges of a Workspace Role in my cloned workspace but all checkboxes are disabled. Why?

A. You have marked your cloned workspace Workspace Roles Object to inherit values from the template and therefore are not eligible to edit the role privileges within the cloned workspace. All updates need to be applied within the template and will automatically be reflected in your cloned workspace.

Q. I want to change the forms settings or make the form inactive in my cloned workspace but checkbox / Submit button is disabled. Why?

A. You have marked your cloned workspace Forms Object to inherit values from the template and therefore are not eligible to edit the information within the cloned workspace. All updates need to be applied within the template and will automatically be reflected in your cloned workspace.

Q. I checked the box for "All Workflow Definitions" under Workspace Objects while cloning a Workspace from Workspace Template and saved the changes; however, not all of the copied Workflow Definitions are showing published. Why?

A. This is because latest saved version of those Workflows were not published.
