About Public / Private Forms

"Forms Manager" provides team members the ability to control the access of specific forms for individual message recipients. Forms can be set as Public or Private at the settings level.

 

Forms with Public settings can be viewed by all users irrespective of being on the Form Distribution List while Forms with Private settings can be viewed only by users who are on the Form Distribution List.

 

You can set the form as public / private at the settings as follows:

 

Any change to the settings will not have a retrospective effect.

 

At the Role level definition, in addition to checkboxes of Create and Control, two additional  checkboxes of No Access and View All Private Forms are available.

 

 

 No Access – Marking this checkbox as ON restricts the access of the specific Form Type to all users of the Role. Such users will not have any access to the Form Type and the same shall not be displayed in the Forms dropdown list. Also actions cannot be distributed to such user having no access to the Form Type.

 

 View All Private Forms – Marking this checkbox ON allows members of the role to only view such Private Forms though they are not on the Form Distribution List. However, such users will not be able to carry out any action on the Form (e.g. “Reply”, “Distribute”, and “Edit & Distribute”).

 

 

FAQ's:

Q:  I have View All Private Forms set to yes for my role and i want to distribute an action on a Response message though i am not on the distribution list.  

A:  For Private Forms on which you are not on the distribution list, the icons of Reply, Distribute, Edit & Distribute are not visible.  

 

Q:  I want to search for specific form instance though i do not have access to the Form Type.  

A:  Only forms on which you have access to will be retrieved from the search filter.
